Recipe Manager (v6.0)

SUMMARY:
Recipe Manager tools help for managing, executing, and tracking the production of media, complex reagents, product assemblies, etc.
This tool is linked to the Reagents & Supplies records and associated lots, therefore you must create records for the chemicals/reagents that would be used for creating the new recipes.
Therefore, Reagent & Supplies module must be filled in before using the Recipe Manager.
There are two steps involved in recipe production:-
1.Create a category and recipe
2.Execute the recipe
1.Create a category and recipe
Note
Only Admin level users an create recipes.
- To create a recipe go to ADMIN -> DATA -> MANAGE RECIPE
- The below page will pop up. You can either add a new recipe or edit an existing one.
- You can first add the categories, to segregate your recipes in different groups.
- 1. Click on “Categories” option and you will see a below page, where you can
- A. Add Category
- B. Click on category names to see all recipes in it.
- A. Add Category
- 2. If you select the “Add Recipe” option the below page will pop up.
Each step is explained in detail below.
- 3. You can add details about your recipe here. For example like below image.
- A. Add name of you recipe.
- B. Add the category to the recipe that you previously added.
- C. Add description bout the recipe.
- 4. Here you can add step by step instruction, from textual indication to the choice of one or multiple components to destock.
- A. Basic step (version 6.1):
- A.1 If you simply need to add an explanation, or a simple protocol step, you can do it here.
- A.2 When you add a basic step you can also add a generic quantity to indicate the quantity to use at this step but without destock action in the module Reagent & Supplies, for example with water.
- B. Components:
- B.1 You can add the components of the recipe here.
- For example, you have to make a Tris HCL buffer. So you choose the required components or chemicals from the Reagents and Supplies module. You add the required amount & unit you are going to use from the stock/lot defined in the reagents & supplies module.
- NEW! Since version 6.1, you can also add a tolerance value to allow the system to destock a lot with quantity inside the tolerance interval. In the example below, if the quantity available is between 11.1 and 12.1 g, the recipe can be executed.
- B.2 Alternative component line
- NEW! Also, in version 6.1, you can add an alternative component to the main one.
- For example, you have a reagent from different suppliers than can be used, or a tube that can be 10mL or 15mL.
- In these cases, click on to have an extra line of components in the same step.
- Now you have assistance while recipe production where the description about tolerance helps you to understand the concept and rules about it.
- When you select a component, the component options will pop-up
- B.3 Partial recipe allowed: This option allows you to use some components or chemicals from the entire recipe. Sometimes we can add optional component that will not be used each time but depending of certain conditions.
- B.4 Accept expired lots: This option allows you to use chemicals that are over the expiration dates.
- B.5 Allow a lot quantity modification: This option allows you to modify the quantity or amount of the chemical used for reagent preparation.
- The lots are the ones you create for chemicals in reagents & supplies (click the link to see our Knowledge Base on how to create alerts lots).
- B.6 NEW! Allow multiplier coefficient: Since version 6.1, you can add a coefficient when you run the recipe to automatically increase the quantity used.
- In our example, we create the general recipe for 100mL of water, you can activate this option if, for example, you want to be able to create 3 times more volume.
- In this case, put 3 as the coefficient, and automatically the reagent quantities will be recalculated.
- B.1 You can add the components of the recipe here.
- 5. Final Product: These options relate to the final recipe when you have prepared the reagent recipe as a new reagent.
- A.1 New product not in the stock: This option allows you to create a new reagent in the module of your choice.
- Module: Here, a new record will be created in module of your choice.
- Lot Status: If you select the Reagents & Supplies module, then you can even create a product whose lot can be ready to use or on hold.
If you choose any other module than Reagents & Supplies, then the lot option will not pop up.
- A.2 Lot on an existing product: This option allows you to create a lot on an existing record ONLY in the Reagent & Supplies module.
- Lot Status: This option allows you to change the lot status.
- Ready to use: This option allows you to directly use the lot/batch of the product resulting from the recipe that you just made.
- On hold: This option allows you to hold the lot/batch of the product resulting from the recipe. This can be done for example when you want to save the lot for a specific experiment or to be tested before use.
- For example, you have created a record for the Tris-HCL buffer. Let’s say you are creating a new stock (lot) for future use. In this scenario, you will add the final product as another lot in the already existing record in the Reagent & Supplies module.
- So when you select this option, below you will have the possibility to choose the record that you want to create this lot for (for example tris HCL buffer).
- A.3 Only lot consumption and no final product: This option allows you to make a recipe just using the reagents without making a final product. It is simply a destock option with more details.
- A.4 Free choice by the user at execution: This option allows you to choose the above options during the execution of the recipe.
- You will get a new option below asking you to choose the designated module you want this recipe to be.
- You will get a new option below asking you to choose the designated module you want this recipe to be.
- A.1 New product not in the stock: This option allows you to create a new reagent in the module of your choice.
- 6. Observation: This option allows you to write observations for the recipe for example where to store the recipe at a specific temperature or a place
2.Execute the recipe (all users except visitor level)
Note
All users can execute recipes except visitor level.
- To create a recipe go to TOOLS -> RECIPES/PRODUCTION -> MANAGE RECIPE
- The below page will pop up. When you select the category for the recipe (Option 2 in part 1), the recipes linked to that particular category will be displayed.
- A complete log with a detailed PDF report for each executed recipe is available on this page.
After you select the desired recipe, the recipe in running mode will appear.
- The “Final product” options will depend on what options you choose in Part 1.
- 1. Product name needs to be added.
- 2. To “Create a product lot” you have to click on the small checkbox.
- The lot will be created in Reagents & Supplies module.
- When the FIFO rule is active (First In First Out) in PREFERENCES -> REAGENT & SUPPLIES -> LOT MANAGEMENT. Then you will see an error when you are selecting from different lots.
- When the lot has insufficient amount you will see an error.
- If the lot is expired then you will see an error message while selecting lots.
- If you have more than one lot for reagents that you are going to use, you have the choice to select the lot you want to destock the chemical from. A small pencil icon will appear next to the quantity where you can select the lot you require and you will be able to choose the lot from the dropbox.
- You also have the possibility to now see more options on the recipe component
- NEW! record data

- You need to check the boxes in order to execute he recipe.
- When you are done selecting all the options you can select the option.
- Once you execute the recipe the below pop-up will appear, with 2 options:
- 1. This will take you to the record in the respective module.
- 2. You will see a pdf report of your executed recipe.
